Questions about sending a referral?
Who can use this?
Any referring provider โ primary care physicians, urgent care clinics, hospitalists, nurse practitioners, and care coordinators. You don't need a dedicated fax machine.
What does the referral letter include?
The letter includes your practice name and contact info, patient demographics, the specialty and receiving provider, reason for referral, urgency level, ICD-10 codes, and clinical notes. You can preview before sending.
How do I find the specialist's fax number?
Use the built-in NPI lookup in the form โ search by specialist or practice name and we pull the fax number directly from the CMS NPI Registry. If a provider isn't listed, most offices publish their referral fax on their website, or you can call the front desk.
Can I send referrals in bulk for my practice?
Yes โ credit bundles give you the best per-fax rate for high-volume senders. Team accounts let multiple staff members share credits.
Can this referral workflow be used for HIPAA-regulated documents?
FaxSeal transmits via encrypted fax, which is a HIPAA-permitted method when used with appropriate safeguards. The referral letter includes standard clinical referral elements, but your organization remains responsible for deciding whether the overall workflow meets its legal and compliance requirements.
